How to Build a Complete Shisha Charcoal RFQ
Give suppliers the same product, quantity, packaging and delivery brief. Use a clear RFQ revision, identify pending decisions and ask for explicit exceptions so the quotations can be compared on the same basis.

01 · Buyer, country and application
Describe the commercial requirement before asking for a price.
A useful shisha charcoal RFQ template gives every supplier the same requirement and asks each to identify exceptions. Start with the company, target country, buyer type and application: importer, distributor, brand owner, wholesaler or another defined channel. Explain whether the product is for lounge use, retail distribution or a different intended application.
Include the contact responsible for product approval and commercial clarification. State the current supplier problem in observable terms, such as inconsistent pack counts, unexplained batch variation or missed agreed milestones. Avoid asking a new supplier to promise “better quality” without defining what would be evaluated.
Keep the RFQ reference, revision and response date visible. An early enquiry can begin with incomplete information, but an indicative response should remain labelled as such until the missing quotation basis is resolved.
02 · Cube, grade and acceptance basis
Replace vague quality labels with a reviewable specification.
State the requested cube size or other supported format, intended use, grade reference and specification revision. If you use a label such as Premium, identify whose definition applies and request the current technical information. Do not assume identical grade names mean identical requirements across suppliers.
List the characteristics you need reviewed, together with available methods, reporting bases and acceptance criteria. Where a value is not yet agreed, mark it “to confirm” instead of copying an unsupported limit. Ask the supplier to identify supported scope, proposed alternatives and any deviations explicitly.
Record sample status: not requested, under evaluation, conditionally approved or approved for a stated scope. Identify the sample reference and what remains unresolved. Sample approval and shipment acceptance criteria should be connected but should not be treated as the same decision.
03 · Volume, unit and pack format
Make the quantity and packaging basis comparable.
Provide an estimated initial quantity with its unit and explain whether it is a trial, planned shipment or recurring forecast. Separate a forecast from a committed order. Ask for current order-specific MOQ and supported quantities rather than assuming a standard container volume or minimum.
Define the requested inner-pack and outer-carton configuration, net product mass, brand status and any pallet or floor-load requirement. For private label, identify whether structural files, artwork and market copy are available, pending or require review. Ask for separate confirmation of supported materials and services.
If packaging is undecided, request clearly identified alternatives with their own quantity and price bases. A quote for plain packing cannot be compared directly with a branded pack that includes different contents or services. Request current packed dimensions, gross basis and loading assumptions when they affect the offer.
04 · Destination and delivery basis
Name the route and the scope being priced.
Provide the destination country and port, and the delivery place or point if relevant. Identify the requested Incoterms rule, named location and version, subject to supplier confirmation. If you are unsure which basis is appropriate, ask the logistics reviewer and supplier to clarify before comparing totals.
ICC guidance recommends specifying the chosen rule together with the named port, place or point and applicable version. The rules allocate defined obligations, risk and costs; they do not set the product specification, payment terms or all other commercial conditions. State those separately.
Ask each supplier to identify inclusions, exclusions and assumptions on the same basis, including whether freight or insurance is being quoted and which route assumptions apply. Obtain current carrier and broker confirmation for the actual shipment; an RFQ is not transport acceptance or destination approval.
05 · Timing, documents and inspection
Expose the approvals that affect the schedule.
State the target milestone precisely: sample review, production readiness, requested shipment window or required arrival window. Include any flexibility. Ask the supplier for the current schedule basis and dependencies, including sample approval, packaging, artwork, commercial confirmation, inspection and booking.
List required product, batch and shipment evidence by purpose, responsible preparer, reviewer and issue stage where known. Mark destination requirements pending until confirmed by the appointed broker or responsible authority. Do not assume every certificate or inspection is included in the base price or available from the supplier.
Describe the requested inspection scope, reviewer, sampling and acceptance basis, evidence format and response to a failed check. Identify loading and arrival evidence needed. A request is not confirmation that a service is supported; ask for explicit agreement, cost scope and responsibilities.
06 · Minimum comparable-quote fields
Resolve the basis or keep the response indicative.
For this buyer comparison, treat the target market and application, defined product/specification basis, estimated quantity and unit, pack configuration, destination and delivery-price basis as the minimum comparable-quote fields. These are practical comparison requirements, not a universal legal RFQ format.
Timing, sample status, private-label work, required documents and inspection also need an explicit assumption or pending status whenever they affect cost, feasibility or release. Do not disguise an unknown as “not required.” Assign a clarification owner and decide whether the quotation can be evaluated before it is resolved.
If one supplier quotes a different cube, pack, quantity basis or delivery scope, record the deviation and request a revised comparable response. A cheaper headline price does not answer which offer meets the requested scope. Keep proposed alternatives as separately identified options.
07 · Supplier response and revision control
Request an identified offer with visible exceptions.
Ask the supplier to state currency, price unit, quoted quantity, packing scope, delivery reference, exclusions, payment proposal, quote validity, schedule assumptions and supported documents or services. Request current figures for the actual order; this guide supplies no prices, duties, freight rates, MOQ, lead times or margin promises.
Request a line-by-line confirmation or deviation list against the RFQ revision. Keep requested terms separate from accepted terms and retain the clarification history. The RFQ template is an enquiry tool, not a purchase order or a complete sales contract.
Before committing, reconcile the accepted quotation with the product, packaging and commercial approvals and the eventual order documents. Obtain relevant current advice for the actual market and route rather than treating a completed template as a compliance sign-off.

Status options: planned, awaiting confirmation, hold, corrected pending review, accepted for the stated scope, or not applicable with a review basis. Status options: requested, supplier-confirmed, alternative proposed, pending clarification or not applicable with a stated basis. A completed enquiry does not mean the supplier has accepted its terms.
Shisha charcoal RFQ questions
Can I ask for a quote before every field is final?
Yes, but identify pending decisions and ask the supplier to state its assumptions. Treat the response as indicative until the comparison basis is resolved.
Is “Premium 25 mm” a complete specification?
No. Identify the grade definition, relevant specification and evaluation basis. Ask for current supplier confirmation and deviations.
Should trial quantity and monthly forecast be combined?
Keep them separate with explicit units and commitment status. A forecast is not an accepted purchase quantity.
Does an Incoterm define payment terms too?
No. Request payment terms separately, along with the complete delivery reference and other commercial conditions.
Send a complete requirement for a comparable quotation.
Send Unimax the target country, buyer type, application, product/specification basis, volume, sample status and packaging concept. Add the destination, requested delivery basis, timing, documents, inspection and current supplier problem, then ask for current supported scope and an identified offer.
