Shisha charcoal purchase order checklist

Give every team the same order reference.

A purchase order is easier to execute when its product lines point to exact specifications, samples and pack revisions. Leaving these details scattered across messages makes the intended scope harder to confirm.

Use the checklist to prepare and review the record with your supplier. Mark unresolved details openly, identify the owner of each decision and retain the confirmed versions together.

Final comparison: PO / current quotation / specification / approved sample / pack and artwork. Resolve mismatches before the affected activity is released.

01 · Order identity

Make the order and its revisions identifiable.

For an importer buying coconut charcoal cubes wholesale, the purchase order should point to one defined product and order scope. Record the buyer and supplier identities, PO number, issue date, revision, quotation reference and the contacts responsible for clarifications. Keep the SKU or line reference stable across the order, pack brief and approval records.

List the supporting documents by exact title, date or revision rather than writing as discussed. A supplier confirmation should identify any mismatch with the requested scope. If the PO, quotation or attachments disagree, resolve the discrepancy and circulate the agreed revision before relying on the affected instruction.

This is an operational completeness checklist. It does not establish legal effect, prescribe contract terms or replace review of the actual agreement. Its purpose is to make the intended order understandable to purchasing, production, packing and shipment teams.

02 · Product and sample

Specify what each product line must follow.

Record product identity, offered grade, cube length × width × height, dimensional tolerances and the controlled specification reference. Link relevant acceptance criteria to the agreed method or reporting basis. A marketing grade name without a specification reference leaves room for different interpretations.

Include the approved sample ID, approval report reference, date and scope. Identify unresolved conditions or any further evaluation needed. A sample approved for one size or setup is not automatic evidence for a different offered product. Confirm how the sample relates to the commercial production product.

Where several SKUs are ordered, give each its own product, sample and packaging references. Avoid one loose approval note covering unrelated lines. Keep proposed substitutions separate until the buyer has reviewed and recorded the relevant approval.

03 · Quantity and packing

State the unit, net product basis and SKU split.

Enter the order quantity and unit for every line. Distinguish kilograms of net charcoal, packs, cartons and piece counts; keep gross shipment weight separate. Specify the unit-pack format, declared net weight or guaranteed count, packs per master carton and the requested carton arrangement.

Reconcile line quantities with the pack configuration and proposed loading basis. If cartons and net product mass are both stated, confirm that the arithmetic describes the same scope. Do not use a generic container payload or an unspecified carton count as the purchase quantity.

Record any agreed quantity tolerance and who must approve a difference outside it. Keep estimated monthly demand separate from the actual PO quantity. Forecast demand and a proposed container type are planning information unless the order explicitly defines the quantity being purchased.

04 · Artwork and traceability

Attach the pack revision that is actually approved.

For private label, identify the artwork file and revision, approval date, print scope, proof or prototype reference and the person authorized to approve changes. Record pack dimensions and required text or markings in the controlled pack brief. A filename alone is weak identification if multiple revisions use the same name.

Include the lot-coding requirement, placement and the way codes connect to production and packing records. Ask which traceability records will accompany or remain available for the order. Confirm the proposed method rather than assuming the supplier already uses your preferred coding format.

List any approved pack exception precisely. If artwork or pack configuration changes, update the relevant references and review effects on quantity, fit, checks and schedule. Do not allow an older pack proof to remain the production reference after approving a new revision.

05 · Inspection and documents

Define the records needed for the next decision.

State the inspection scope, timing, sampling approach, responsible party, evidence format and approval owner agreed for the order. Reference written acceptance criteria. A phrase such as quality checked is incomplete when the teams have not established what will be checked and what supports release.

List the shipment documents required for this order and who prepares each one. Record the inputs, review responsibility, required timing and any related quoted charge. Requirements that have not been confirmed should remain visible as unresolved items rather than appearing as promises of availability.

For packing and loading evidence, request attributable records linked to the order and lot. Photos can document visible conditions at selected checkpoints; they do not replace the product checks or quantity records agreed for the shipment. Keep the evidence request practical and confirmed before dispatch.

06 · Commercial and delivery scope

Copy the current agreed terms without filling gaps by assumption.

Include the current quotation reference, currency, price unit, line totals, confirmed charges, inclusions and exclusions. Record payment milestones and their stated timing or triggers. If a charge or milestone remains unclear, seek confirmation before treating the order scope as settled.

Record the requested or confirmed Incoterm, edition, named place or port and destination. Keep the status explicit. This article does not interpret transport responsibilities; it helps you capture the chosen basis and identify when the delivery description needs clarification.

State the shipment window and relevant schedule dependencies, distinguishing dispatch from the required usable-stock date. Ask the supplier to confirm the current plan for the final quantity, pack and approval status. No fixed price, MOQ, payment arrangement or lead time is established by this checklist.

07 · Exceptions and final review

Make changes and open conditions visible before release.

For each exception, record the affected line or requirement, proposed change, buyer approver, date, evidence and permitted scope. An exception accepted for a defined order should not silently become the default for every future order. Keep material substitutions subject to the agreed change process.

Review the PO against the quotation, specification, sample approval and pack references. Mark each checklist item confirmed, conditional or unresolved, with an owner and action. Where an unresolved item blocks a required decision, obtain the relevant confirmation before releasing the affected activity.

After supplier review, retain the acknowledged scope and the final attachment versions together. If a revision is needed, make clear which earlier record it replaces and communicate it to the teams using the order. At arrival, these same references help compare what was requested with what was received.

Build the references before drafting the order.

Review the specification sheet, align the quotation scope, and connect sample approval to the first order. Use their confirmed references in the PO review.

Before confirming the purchase order

For the next shipment, use the repeat-order readiness scorecard to review references, changes and open corrective actions.

Is the grade name enough to identify the product?

No. Include the specification revision, dimensions, tolerances and relevant sample approval reference for the offered product.

Should forecast monthly volume be entered as the order quantity?

Keep the forecast separate. The PO should state the actual purchase quantity and unit for each product line.

What if an attachment and the PO disagree?

Identify the discrepancy, confirm the intended scope with the supplier and circulate the agreed revision before the affected instruction is used.

How should an approved exception be recorded?

Name the affected requirement, permitted change, buyer approver, date and scope. Retain the evidence and any remaining conditions beside the order reference.
