How to Check a Shisha Charcoal Commercial Invoice and Packing List

Compare the current drafts with the approved order and actual packed goods. Reconcile units, counts, weights, values and shipment references, then close discrepancies before the relevant document release.

01 · Review set and parties

Put the approved order beside the current drafts.

A shisha charcoal invoice packing list review should compare the same shipment across the purchase order, accepted quotation, current invoice draft, packing list and available transport particulars. Record each document’s number, date, revision and draft or final status. Avoid approving a new invoice against an outdated packing list.

Check the seller and buyer legal names, addresses and relevant order references. Review shipper, consignee and notify-party details according to their respective roles with the broker and forwarder. These roles may differ; resolve an unexplained mismatch rather than forcing every party field to show the same name.

Confirm who may amend the commercial data, packing data and shipping instructions, and who approves each. Use this checklist as a buyer reconciliation tool, not legal or customs advice. The required fields and submission process must be confirmed for the actual origin, destination and booking.

02 · Product, quantity and unit

Describe the goods clearly and reconcile the arithmetic.

Compare the product description with the approved order and packed goods: charcoal type, grade or SKU, agreed cube requirement, brand or pack designation and any relevant product reference. Keep commercial descriptions consistent without substituting marketing language for carrier-required dangerous-goods particulars.

State the quantity unit explicitly. Distinguish kilograms, metric tonnes, cartons and retail packs; do not treat them as interchangeable. Recalculate each invoice line on its stated quantity and pricing basis, then check the line totals and overall total against the agreed commercial scope.

Illustrative arithmetic only: 500 cartons × 10 inner packs × 1 kg net per pack equals 5,000 kg, or 5 metric tonnes net. At an illustrative USD 1,000 per metric tonne, the goods line would be USD 5,000 before any separately agreed items. These numbers are not Unimax pack specifications, a price quotation or a loading commitment.

For mixed SKUs, calculate each configuration separately before adding totals. If counts or weights change after the draft, update the related lines and record the approved revision rather than changing only the final total.

03 · Pack counts, weights and marks

Make the packing list explain the physical cargo.

Check the number and type of outer packages, the contents of each configuration, and relevant package dimensions. Distinguish cartons from pallets and inner packs so one palletized shipment is not accidentally counted as both extra cartons and extra product.

Compare net product mass and packed gross mass on a defined basis. Identify what the gross figure includes, such as inner and outer packaging and pallets where applicable. Do not silently use packed-goods gross mass as the verified gross mass of a packed container; reconcile container-related weights with the responsible logistics party.

Check carton marks and available lot or SKU references against the goods and receiving instructions. Record which range or quantity each mark covers. If goods are repacked or a partial quantity is removed, confirm the resulting count, weights and marks before the final packing list is released.

A packing list describes physical cargo particulars; it does not replace the commercial invoice or a product test report. When two documents disagree, identify the underlying goods or commercial record that supports the correction.

04 · Currency, value and delivery basis

Reconcile the agreed sale without guessing missing terms.

Check the invoice currency, unit price, quantity basis, line values, discounts and separately agreed charges. Identify whether an amount is per kilogram, per metric tonne, per carton or another agreed unit. Do not use an unexplained currency symbol where the parties have agreed a specific currency.

Confirm the complete agreed Incoterms reference: rule, named port/place/point and version. ICC guidance emphasizes identifying the chosen rule and named place together with the applicable version. Match the invoice to the contract; do not infer a rule merely because freight appears on a document.

Clarify inconsistent freight, insurance or other price components with the parties responsible for the sale and customs review. This checklist does not determine customs value, tax or the correct delivery term for your transaction. Ask the appointed broker to confirm the destination’s required value presentation and fields.

05 · Origin and shipment references

Connect the documents at the correct issue stage.

Compare the stated origin with the applicable origin evidence and the broker’s confirmed requirements. Keep country of origin, shipment origin and routing fields conceptually distinct. Ask the responsible reviewer to resolve a discrepancy; a loading port alone is not an explanation for an origin statement.

Reconcile available booking, container, seal, transport-document and route references with the shipping instructions and packing records. Some identifiers are assigned later; record a field as pending when appropriate rather than inventing it or describing a draft transport document as final.

Check package counts, descriptions and weight bases across the transport draft, invoice and packing list. Where the carrier uses a different field or reporting scope, have the forwarder explain the relationship. A deliberate difference with a recorded basis is different from an unnoticed contradiction.

Pass the final accepted references to the destination team so the arrival inspection can identify the consignment and reconcile received packs. Keep superseded drafts distinguishable from the current release set.

06 · Current route checks

Two matching documents do not complete all shipment approvals.

ITA guidance explains the roles of the invoice and packing list and recommends destination-specific review. Its U.S. export context and a broker’s U.S. document overview are useful references, not a complete checklist for an Indonesian export to another market. Obtain confirmation from the appointed broker using current official sources for the actual route.

Maersk’s Indonesia export page separately requires loading acceptance for charcoal and publishes dangerous-goods procedures. TT Club’s charcoal guidance also addresses declaration, packaging and transport safety. An invoice and packing list that match each other do not replace the carrier’s safety-document and acceptance process.

Ask the insurer or intermediary to confirm the commodity description, shipment identifiers and any cover documentation needed under the actual arrangement. Do not infer coverage from agreement between commercial documents. Public official, carrier, broker and insurer guidance was reviewed on 16 October 2026; shipment-specific confirmations remain necessary.

07 · Discrepancy and document release

Close the mismatch and circulate one identified version.

For every discrepancy, record the field, the conflicting values, the supporting source, the correction owner and the effect on related documents. Mark the issue open until the responsible reviewers accept the corrected scope. Avoid patching a single PDF while leaving the invoice, packing list or shipping instructions on inconsistent versions.

Before release, recheck totals, units, parties, marks, agreed delivery reference, origin and available shipment identifiers. Confirm the current broker and carrier instructions for copies, signatures, formats and submission stages where applicable. Track documents due after later shipping events separately.

Record the approved document numbers and revisions, reviewer, date, recipients and acceptance status. Retain the correction history and communicate replacement versions clearly. Use the accepted set for dispatch and arrival reconciliation, while keeping technical product and batch evidence in its own linked file.

Questions buyers ask

Should invoice quantity and carton count always be the same number?

No. They may use different units. Show the pack configuration and conversion so the invoice quantity reconciles with the actual cargo.

Can packed gross weight be used as container VGM?

Do not treat them as interchangeable. Confirm the weight scope and container-related requirements with the responsible logistics party.

What if one shipment identifier is not available yet?

Record it as pending at the appropriate draft stage and assign its update owner. Do not invent a number or mark the document final before the required review is complete.

Confirm the route and packing data before production.

Send the destination, route, grade/cube requirement, volume, pack format and timing. Include your broker’s and carrier’s document instructions, then ask Unimax to confirm the supported packing basis, required evidence and document-review sequence before production.
