Why Retained Shisha Charcoal Samples Matter for Repeat Orders

Keep an identified physical reference, a written specification and a record of storage and use. Compare repeat orders with clear methods and a documented shipment-sampling scope.

Retained shisha charcoal samples

A reference helps only when its history is clear.

Agree who keeps each portion, how it is identified and sealed, where it is stored and when its availability will be reviewed. Keep photos and each opening or transfer attached to the record.

Retained material supports evidence. It does not replace written specifications, representative shipment sampling or a comparable test method.

Blank reference register

Record each retained portion and its availability.

Complete one record per physical portion. Link buyer and supplier references to their documented origin, and keep quantity, storage and use history current.

Blank retained-sample register. Repeat for each holder and portion; mark missing information and unavailable references explicitly.

01 · Purpose and limits

Keep a physical reference alongside the written specification.

Retained shisha charcoal samples preserve identified material for later review. They can help an importer and supplier revisit what was approved when a repeat order appears different, provided the reference identity, condition and test history remain clear.

The reference complements the dated specification, sample-approval record and agreed methods. It does not replace them. A bag kept on a shelf cannot resolve whether a later shipment meets an unclear grade description or a requirement that was never written down.

Keep the approval scope explicit: the tested sample, an identified lot or a defined product specification. Retention does not make a small sample representative of an entire commercial shipment and does not guarantee that future production will be identical.

02 · Who retains what

Agree holders and portions before consuming the sample.

Ask who will hold the buyer reference and whether the supplier will keep a corresponding portion. Record the person or organization responsible, location and access arrangements. Do not assume a factory retains a sample simply because it supplied one.

Where portions are split from one identified parent sample, give each child portion its own ID and record the allocation. Buyer and supplier portions are linked references only to the extent that their origin is documented. Separately collected material needs its own identity and selection record.

Agree the retained quantity against planned checks, possible repeat tests and any unopened reserve. Record the quantity actually set aside. This guide gives no universal quantity; retaining too little may leave no usable material for follow-up after an initial test consumes the sample.

03 · Label, seal and photograph

Make the stored portion identifiable without relying on memory.

Label each portion with the supplier, grade, nominal cube format, parent sample ID, original lot where supplied, child portion ID, allocation date and specification revision. Preserve original labels and retain any mapping between production and packing codes.

Use an identified closure or seal and record its condition when the reference is stored. Photograph the label, container, contents where visible and seal with the portion ID. An intact-looking seal records observed condition; it does not independently verify the identity or quality of the material.

Log every opening, transfer, test allocation and resealing, with date, handler and remaining quantity. If the label is damaged or a portion is mixed with another sample, retain the event and mark the reference unresolved rather than silently restoring a clean record.

04 · Storage record

Treat reference condition as part of the evidence.

Agree storage using the product information and the holder’s established procedures. Record container or pack type, location and known conditions. Protect the identity and package integrity and document known moisture exposure, contamination, crushing or other incidents.

Keep the stored reference separate from routine stock so it is not accidentally sold, blended or consumed. Where environmental readings are available, retain them with dates; where they are not available, state what is known rather than inventing temperature or humidity records.

A retained portion may change during storage or handling. Before a later hookah charcoal sample test, inspect and record its current condition and storage history. An old reference and a newly received shipment do not necessarily share the same history, even when tested side by side.

05 · Retention period

Choose a review period and record what happens at its end.

Agree the retention period with the buyer and supplier based on repeat-order timing, review needs and the amount of usable material. Define its starting event, review date and responsible holder. There is no universal retention period established by this practical guide.

Review the reference before the planned end date. Record whether it remains identified, sufficiently complete and suitable for the intended comparison. If a new reference is approved, give it a new ID and retain the change history; do not relabel it as the original sample.

If a concern is open, agree whether the relevant portion remains available for follow-up. Record release, disposal or depletion with date and reason. A record of a sample that no longer exists may remain useful, but it must not be presented as an available physical reference.

06 · Investigate repeat-order differences

Compare identified material under matching methods.

When a repeat order appears different, identify the order, shipment and affected lots and document receipt condition. Collect shipment samples using an agreed selection procedure and retain the selection record. A chosen damaged cube or an attractive top-of-carton sample is not automatically representative.

Compare the shipment portion with the retained reference using the same written method, cube format, count, conditioning and application setup where relevant. Keep observations, run IDs, photographs and deviations. Record differences in storage history and do not hide them behind a single score.

Use the results to narrow the inquiry, not to diagnose a production cause automatically. Review the specification, approval scope, lot mapping, packaging and handling evidence with the supplier. If methods or identity do not align, resolve those gaps before treating a measured difference as proof of a batch defect.

07 · Close the review

Preserve the decision and the remaining evidence.

Keep a dated summary of the comparison, unresolved points, reviewer and agreed next action. Possible actions include clarification, another identified portion, a repeat test or a relevant laboratory assessment. These are options to agree for the actual issue, not evidence that a supplier has failed.

For the next order, retain the agreed specification revision and any documented changes to grade, dimensions, packaging or checks. Update the reference register when portions are opened or consumed. Keep the buyer and supplier informed about which physical references are still available.

Connect retention to a complete sample review.

Identify the sample, batch and custody trail before allocating reference portions. Use the complete sample-evaluation checklist and align the burn-test method for comparisons. Confirm current grades on the shisha charcoal product page.

Before relying on a retained reference

Should the buyer and supplier both retain material?

Agree who holds what and record the origin of each portion. Do not assume the supplier keeps a matching reference without confirmation.

How long should every reference be kept?

This guide sets no universal period. Agree the starting event, review date, holder and availability needed for the order cycle.

Can an old reference be compared with a fresh shipment?

It can support a review within its recorded scope. Inspect the reference and retain storage-history differences and method limitations.

Does a retained sample replace shipment sampling?

No. It is a reference portion. The shipment needs its own identified samples and an agreed selection record.
