How to Identify a Shisha Charcoal Sample and Production Batch

Connect the received sample to its stated grade, cube format, lot and supporting records. Keep photos, seal observations and portion history attached to the approval decision.

Shisha charcoal sample batch identification

Approval needs an identifiable reference sample.

Record what the supplier states and what you observe separately. Keep the original sample label, lot reference, specification revision and receipt evidence together.

A buyer-assigned ID helps organize evidence. It does not establish a production batch, verify origin or guarantee that a future commercial order will match the sample.

Blank sample identity record

Capture identity, evidence and unresolved links.

Complete one record per received sample. Keep original supplier identifiers alongside your receipt ID, then link each test and retained portion. Mark information not provided or uncertain instead of guessing.

Blank sample identity checklist. Preserve supplier statements, buyer observations and missing information as separate records.

01 · Sample identity

An unlabelled bag is weak approval evidence.

Shisha charcoal sample batch identification connects the material a buyer receives to the supplier’s stated product and the records used for review. A sample can perform well in a hookah charcoal sample test while still being difficult to use as a reference if its identity is unclear.

An unlabelled bag gives no dependable link to an offered grade, production lot or future order. Appearance and nominal cube size alone cannot establish that link. Record observations, but keep commercial approval conditional until the identity and scope are clarified.

Use a unique buyer receipt ID and retain the supplier’s original sample and lot references alongside it. The buyer ID organizes your records; it does not create a factory batch number or prove where the material was produced.

02 · Product description

Separate the grade claim from the observed format.

Record the supplier name, offered grade, nominal cube dimensions and pack format. Keep the dated specification or revision sent with the inquiry. A grade name without its specification is an incomplete product reference, especially when comparing different suppliers.

Record measured dimensions, piece count and condition where your evaluation includes them, but label these as buyer observations. Do not overwrite the supplier’s nominal format with a measured value or treat a matching size as proof of a matching formulation.

Distinguish a loose sample bag from the proposed retail pack and master carton. Ask whether the sample is drawn from commercial production, a pilot run or another stated source, and retain the answer. The sample package does not automatically represent the final private-label configuration.

03 · Lot and date references

Keep production, packing and dispatch dates distinct.

Ask for the original lot or batch reference and what it identifies in the supplier’s system. If a pack code differs from the production lot, request the mapping. A code printed on a bag is useful only within its documented meaning and does not independently prove traceability.

Record production and packing dates separately when supplied, and mark missing dates as not provided. Retain the original date format and clarify ambiguous dates before normalizing them. Do not infer a production date from dispatch, courier tracking or the date of a specification sheet.

Keep dispatch and receipt dates with the shipment reference. If the sample contains several lots, identify them separately and record any known allocation. A mixed sample with an unresolved mapping should not be described as a single identified production batch.

04 · Photos and seals

Capture the label and package before opening.

Photograph the received outer package, labels, sample bag, visible codes and seal condition before opening. Tie each photo to the receipt ID. Capture enough context to show which label belongs to which package, rather than retaining only a cropped number.

Record the seal type and identifier where present, and whether it appeared intact, damaged, absent or uncertain on receipt. Document opening date and person. An intact-looking seal is a custody observation, not proof that the contents match the label or that the material is representative.

Keep original images and supplier dispatch photos as separate evidence sources. Note discrepancies without editing one record to match the other. If a label is illegible or the pack is damaged, preserve the evidence and request clarification before relying on it for approval.

05 · Chain of custody

Track each transfer, split and test portion.

Use a practical custody log: date and time, person or organization handing over, recipient, location, package ID, action and condition. Record known gaps as unknown rather than filling them from memory. This proposed record is a procurement aid, not a claim of a certified custody procedure.

When splitting a sample, assign child portion IDs linked to the parent receipt ID and original lot. Record quantities or masses allocated to testing and retention, container labels and storage locations. Do not reuse one identifier for portions from different samples.

Link each test run, photograph and result to the actual portion tested. Record conditioning or storage changes, transfers and consumption. If part of the material is mixed, lost or relabelled, retain that event and narrow the conclusions accordingly.

06 · Approval scope

Link the decision to the identified material and method.

Attach the sample identity sheet to the test method, run IDs, observations, reviewer and dated decision. State whether approval covers the tested sample, an identified lot or a defined product specification; do not leave the scope implicit.

For a future commercial order, reference the approved specification revision, sample record and agreed checks in the order discussion. Ask how the supplied production lot will be identified and compared with the approved reference. A sample may come from a different lot than the future order, so sameness must not be assumed.

An identified sample makes follow-up more useful, but identity alone does not establish consistent quality. Retain the physical comparison record and document changes to grade, dimensions, pack format or other agreed attributes. Missing links should remain open conditions, not disappear when a price is agreed.

07 · Resolve discrepancies

Keep original records and written corrections.

If the bag label, dispatch note and specification disagree, list the discrepancy and ask the supplier to confirm the correct mapping. Preserve the original label and the dated clarification. Do not silently rewrite a lot reference to make the paperwork look complete.

Use working statuses such as identified for the stated scope, clarification pending, mixed or unresolved, and unsuitable as an approval reference. These are buyer workflow labels, not universal acceptance grades. The reviewer should state what is missing and what evidence would resolve it.

This guide publishes no invented Unimax batch codes, traceability certificates or performance results. Request current product information and the actual sample references. Where the origin or custody remains uncertain, keep that limitation visible before approving a commercial purchase.

Use the identity record throughout sample approval.

Evaluate the complete shisha charcoal sample using identified test portions. Read the specification sheet by its stated scope and check the COA’s sample and method references. Confirm current offered grades on the shisha charcoal product page.

Before relying on a sample identity

Does a buyer receipt ID replace a factory batch number?

No. Keep both references and the documented mapping. A buyer ID organizes records but does not establish the production lot.

Can dispatch date be used as production date?

No. Record production, packing, dispatch and receipt dates separately. Mark a missing date as not provided.

Does an intact seal prove product identity?

No. It records the package condition observed on receipt. Keep label, supplier mapping and custody evidence as well.

Does approval of one sample guarantee the next order?

No. State the approval scope, agreed specification and checks for the future identified lot. Identity and quality evidence serve different purposes.
