Private-Label Shisha Charcoal: From Sample to Shipment
Move from an identified sample to a confirmed order through separate product, packaging, artwork and shipment approvals. Keep owners, versions and unresolved requirements visible at each stage.

Private label shisha charcoal process
Each approval should release a defined scope, not the whole project.
Keep product testing, pack feasibility, artwork, commercial terms and shipment evidence as distinct decisions. Use one version register to connect them to the order.

01 · Buyer brief
Start with the market, product and approval owners.
A private label shisha charcoal process needs separate decisions for the fuel, packaging, artwork, commercial scope and shipment. One attractive mockup or a satisfactory sample does not approve all of those decisions.
Record target market, sales channel, intended operating setup, product requirements, estimated order and repeat volume, packaging concept and required schedule. Distinguish buyer requests from supplier-confirmed options.
Name the buyer’s product approver, packaging/artwork owner, procurement contact and shipment reviewer, plus the supplier counterparts. The ownership split below is a proposed coordination tool; confirm it for the actual project.
02 · Product and sample
Approve identified material against a written test scope.
Request current product information and confirm the grade, dimensions and other requirements to be evaluated. Ask which specification values have identified evidence and which requests remain unresolved.
Assign sample and pack IDs, record receipt condition and test the material in the buyer’s intended setup. Keep input mass, method, observations, valid repeats and deviations traceable. A sample photo does not establish performance or certify a production batch.
Issue a bounded sample approval identifying the tested material, criteria, setup, unresolved points and reviewer/date. Keep an identified retained reference where the agreed plan allows. Document which additional checks are needed to connect approval to commercial production.
03 · Packaging and artwork
Approve the physical concept and the artwork separately.
Define requested unit pack, inner protection, master carton, dimensions, materials, identification fields and shipping marks. Confirm feasibility and the evidence or approval sample needed before treating a concept as an available supply option.
Keep artwork filename/version, dimensions, languages, buyer-supplied text, claims and any barcode requirements in a controlled record. Assign the buyer’s reviewer for content and intended-market requirements, and the supplier’s reviewer for the confirmed production scope.
This guide does not promise materials, printing methods, pack sizes, barcode support or destination-label compliance. Market-specific label requirements need a separate current review by the responsible parties before final artwork release.
04 · Commercial confirmation
Connect approvals to the exact order scope.
Confirm product and packaging versions, quantity, price scope, payment terms, delivery term, requested documents and the planned schedule. Obtain written confirmation of MOQ, supported options and lead time rather than infer them from this process map.
List dependencies such as product approval, artwork release, packaging confirmation and required evidence. A requested shipment date is not a confirmed production or transport commitment.
Link the purchase order and supplier confirmation to the approved records. Resolve mismatched versions and open requirements before the designated parties authorize the next stage.
05 · Pre-production and production
Release a versioned instruction set and record deviations.
Before production, reconcile the sample approval, product requirement, packaging definition, artwork and commercial confirmation. Record required pre-production checks, their method and who releases or holds the order.
During production, request the agreed lot identifiers and inspection records within the confirmed scope. Keep any difference from the approved requirement visible; determine whether it needs clarification, rework or new buyer approval through the agreed process.
Production approval is not established by a progress photo alone. Use identified records, the agreed checking scope and a documented release decision without exposing confidential formulas or unrelated customer information.
06 · Packing and loading
Check identity and shipment evidence before release.
Reconcile pack and carton versions, labels, quantities and lot references to the order. Record the inspection scope and any discrepancies, with evidence linked to the relevant material or cartons.
Confirm the loading plan and transport/document requirements through the responsible shipment parties. Record the agreed loading evidence, quantities, container or shipment identifiers, seal reference where applicable and document reconciliation.
This process map does not establish cargo acceptance, destination compliance or a fixed container loading quantity. Shipment release should identify who reviewed the actual requirements and evidence, and which points remain open.
07 · Repeat-order control
Carry the approved versions and arrival feedback forward.
Keep arrival findings and any claims linked to order, lot, packaging and shipment references. Compare receiving and application observations with the approved scope before assigning a cause.
For repeat orders, confirm whether grade, dimensions, packaging, artwork, commercial terms or production arrangement changed. Record the change, affected documents and which approvals or sample checks must be repeated.
Reuse a controlled requirement version rather than an informal “same as before” instruction. Send Unimax your buyer brief and request an identified sample and current product information to begin the review.
Private-label process questions
Does sample approval also approve packaging?
No. Record product and packaging scopes separately and connect both to the confirmed order.
Can a mockup confirm a production-ready pack?
Not by itself. Confirm physical details, feasibility, artwork version and the required approval evidence.
Does this guide specify MOQ or lead time?
No. Request current terms for the actual product, packaging and quantity.
Can repeat orders use “same as before”?
Reference approved versions and check changes so both parties know what is being repeated.
Request an identified sample and current product information.
Send the target market, channel, product and cube requirement, intended setup, estimated volume and packaging concept. Ask Unimax which requests can be supported and what evidence is needed for approval.
